This Privacy Policy explains what information Everspell Academy collects, how it is used, and the choices you have regarding your data.
1. Who We Are
Everspell Academy is a Discord-based roleplaying game operated as an independent project. References to "we," "us," or "our" mean the Everspell Academy team. Contact us at legal@everspellacademy.com.
2. Information We Collect
We collect only what is necessary to operate the game. This includes:
- Discord User ID — your unique Discord identifier, used to identify your account. We do not store your username or discriminator unless you provide it voluntarily.
- Game data — your House assignment, inventory, Gold and Vote Point balances, progression milestones, and crafted items.
- Interaction logs — slash command usage and in-game events, stored to detect abuse, improve gameplay balance, and diagnose bugs.
- Website analytics — aggregate, anonymised data about page visits and quiz completion. We do not use cookies for tracking.
3. How We Use Your Information
We use the information we collect to:
- Operate the game and maintain your account
- Enforce our Terms of Service and moderation policies
- Detect cheating, exploits, and abuse
- Improve game balance and fix bugs
- Respond to support requests
We do not sell your data. We do not use your data for advertising.
4. Data Sharing
We share data only with the third-party services necessary to operate Everspell Academy:
- Discord — we use the Discord API to read your User ID and interact with our server. Discord's own privacy policy governs how Discord stores and uses your data.
- Supabase — our database provider, used to store game data. Data is hosted in the European Union.
- Upstash / Redis — used for short-lived rate-limit and session state. No personal data is permanently stored in Redis.
We do not share your data with any other third parties.
5. Data Retention
Your game data is retained for as long as your account is active. If you request account deletion, your data will be permanently removed from our systems within 30 days, except where we are required to retain it for legal reasons. A deletion log entry is kept for audit purposes but contains no personal information beyond a hashed record of the deletion event.
6. Your Rights
Depending on where you live, you may have the right to access, correct, or delete the personal data we hold about you. To exercise any of these rights, email us at legal@everspellacademy.com with the subject line "Data Request" and your Discord User ID. We will respond within 30 days.
7. Children's Privacy
Everspell Academy requires users to be at least 13 years old, consistent with Discord's minimum age requirement. We do not knowingly collect data from children under 13. If you believe a child under 13 has provided us with personal information, please contact us and we will delete it promptly.
8. Changes to This Policy
We may update this Privacy Policy from time to time. Continued use of the service after changes are posted constitutes acceptance of the revised Policy. We will make reasonable efforts to notify users of material changes.
